Responsibilities:
Manage complex calendars for the firm's CEO and management ensuring no conflicts and acting as a point of contact for all scheduling needs
Organize and manage communications via phone, email, and videoconferencing for internal and external communications
Coordinate and book complex domestic and international travel including flights, hotels, transportation, and entry visas as needed
Prepare and all expenses and invoices
Arrange office meetings and off-site events including catering, scheduling conference rooms, and preparing expenses
Update the firm's CRM as required
Open, sort, and distribute mail and oversee outgoing mail and deliveries
Maintain and order office supplies
Ad hoc responsibilities as required

Qualifications:
Bachelor's Degree with 5-10 years of administrative experience
Fully vaccinated and boosted for the COVID-19 virus
Fluency in Portuguese and/or Spanish a plus
Exceptional written and verbal communication skills
Highly organized with a keen attention to detail
Ability to prioritize conflicting needs in a fast-paced deadline driven environment
Utilize discretion when handling confidential information
Team player who can work cross functionally with limited supervision
