Responsibilities:
Oil company outside of Boston is seeking an Office Manager to join their team! This individual will oversee all office procedures and well as assisting clients needs and invoicing. The Office Manager will need to be able to handle the fast- paced environment during their peak season.

Responsibilities include:
  • Answering telephone calls and assist with client needs or route to appropriate personnel
  • Take payments and send invoices and past due letters to clients for work completed
  • Update customer profiles, telephone lists, and database information
  • Schedule incoming service work and create work orders and weekly service schedules for service work
  • Create a weekly customer call list to schedule upcoming service
  • Create marketing materials for trainings, customer use, and additional business needs
  • Maintain Office supplies and inventory as well as monitoring oil inventory, prices, and replacements as needed
  • Create and maintain budget and price caps programs
  • Track and update deliveries, inventory transfers, Gallon reports for future orders, and Diesel Tracking Usage
  • Additional duties as they arise




Qualifications:
Qualifications include:
  • Bachelor's Degree
  • 1+ years in a customer service and/ or office manager role
  • Excellent customer service skills
  • Proactive and detail oriented individual especially when problem solving
  • Microsoft Office and database skills
  • Personable and can- do attitude
